Accounting Software Integration in Australia: Connecting Xero, MYOB and Your Business Systems

How to integrate Xero or MYOB in Australia: data ownership, GST tax codes, invoices and payments, API limits, payroll, Peppol and reconciliation.

01

How should you integrate accounting software in Australia?

Decide which system owns each record, map transactions to the right GST tax codes and accounts, push invoices and payments into Xero or MYOB through their APIs rather than re-keying, respect API limits with batching and retries, and reconcile daily so differences are caught early. Use an established connector when it fits; build custom integration when your rules, volumes or product require it. Have your accountant approve the mapping.

This guide is for finance leads, operations managers and developers connecting ecommerce, CRM, job management, booking or custom systems to Xero or MYOB. For the wider integration picture, see API integration for Australian businesses; for reliability patterns, API integration reliability. Nothing here is tax advice.

02

Key takeaways

  • Write a record ownership table before building anything.
  • Map products and services to accounts and GST tax codes, approved by your accountant.
  • Batch API calls and handle rate limits and token refresh.
  • Make posting idempotent so retries do not duplicate invoices or payments.
  • Reconcile daily: totals, counts and unmatched payments.
  • Leave payroll calculation in payroll software; integrate around it.

Xero and MYOB APIs

Xero offers accounting and payroll APIs using OAuth 2.0 (Xero). Its developer FAQ lists limits per connected organisation of 5 concurrent calls, 60 calls per minute and 5,000 calls per day, plus an app-wide minute limit across organisations; exceeding them returns HTTP 429 (Xero). Batch where the API allows and monitor the remaining-limit headers.

MYOB publishes the MYOB Business API and APIs for other MYOB products on its developer portal (MYOB). Confirm which MYOB product and version the business uses before designing, because capabilities differ.

For both, plan token storage and refresh, handle disconnected organisations gracefully, and keep credentials in a secrets manager. See API security best practices.

05

GST, tax invoices and chart of accounts

Map each product, service, fee and shipping line to an account and tax code in the accounting system. Agree rounding (per line or per invoice) and make totals match the source system to the cent. For business customers, tax invoices need specific details, including the seller's ABN, and for sales of $1,000 or more the buyer's identity or ABN (ATO). Generate invoices from the accounting system where possible so the document customers see matches your books. Have your accountant approve the mapping and test with edge cases: discounts, refunds, mixed taxable and GST-free items, and overseas customers.

06

Payroll and Peppol

Single Touch Payroll requires payroll software to report pay and super information to the ATO each pay day (ATO). Keep pay calculation in payroll software and integrate approved hours in and costs out.

Peppol eInvoicing exchanges invoices as structured data, with the ABN as the identifier, through accredited access points (ATO). Sending and receiving through a Peppol-capable accounting platform can remove PDF handling; see AI document processing for what remains.

07

Reliability and reconciliation

  • Use idempotency or duplicate checks so retries do not create duplicate invoices or payments.
  • Queue postings and retry with backoff when limits or outages occur.
  • Alert an owner when a posting fails repeatedly; never drop it silently.
  • Reconcile daily: source totals vs accounting totals, payment provider payouts vs bank deposits, unmatched items.
  • Keep a link from each accounting record back to its source transaction.
  • Record changes made directly in the accounting system that should flow back to source systems.

Pro tip

Our recommendation: for high-volume online stores, consider posting daily summaries by payment method and tax code rather than every order, if your accountant agrees. It reduces API calls and makes reconciliation with payouts simpler, while order detail stays in the store.

08

Hypothetical example: a trades business

This example is hypothetical. A plumbing business uses a job management app and Xero. Office staff re-key completed jobs as invoices. A custom integration creates draft invoices in Xero when jobs are completed, using tracking categories for crew and job type and tax codes approved by the accountant. Payments from the card provider are matched daily, and a reconciliation report lists unmatched items. Timesheets flow into payroll for STP reporting; pay calculation stays in payroll software.

09

Common mistakes

  • Calculating GST in several systems with different rounding.
  • Two systems editing the same contacts or invoices.
  • Posting every transaction individually and hitting rate limits.
  • No duplicate protection on retries.
  • No daily reconciliation, so errors surface at BAS time.
11

Conclusion

Accounting integration is mostly about agreement: who owns each record, how each line maps to accounts and tax codes, and how differences are caught. Build on Xero or MYOB APIs with batching, retries and idempotency, keep payroll in payroll software, use Peppol where partners support it, and reconcile every day. For matching payments end to end, see payment reconciliation automation. For UK businesses, see Making Tax Digital software integration.

FAQ

Common questions.

Use an established connector when it supports your flows and data mapping, such as a common ecommerce or CRM integration with Xero or MYOB. Build custom integration when your rules are specific (tracking categories, job costing, multi-entity, complex GST treatment), when connectors cannot handle your volumes, or when the accounting sync is part of your own product. Test connectors with real transactions first.
